Approval Flow
Approval Flows help streamline your workflows by reviewing and approving key decisions before proceeding. This guide will walk you through setting up and using Approval Flows effectively.
What Are Approval Flows?
Approval Flows are designed to manage and track approval processes for campaigns, journeys, flows and templates. Whether you're publishing campaigns, flows, journeys or templates, Approval Flows ensure compliance and accountability.
With Approval Flows, you can:
Define approvers for specific actions.
Automate notifications and reminders.
Monitor the status of pending approvals.
Keep a clear record of decisions and comments.
How to Set Up an Approval Flow
Step 1: Access the Approval Flow Feature
Log in to your account.
Navigate to Workflows
Look for the Approval Flows section.
Step 2: Create a New Approval Flow
Click on Create Approval Flow.
Provide a name or description for the flow (e.g., "Campaign Approval").
Select when you want the approval flow to be applied or triggered. There are 4 options:
Publish campaign: When sending or scheduling any campaign
Publish flow version: When publishing any version of a flow
Publish journey version: When publishing any version of a journey
Publish email template: When publishing any version of an email template
Publish channel template: When publishing any version of a message template
Step 3: Add Steps and Approvers
Give a name to your step. You can add more steps if needed by clicking on Add Step.
Specify the team members or stakeholders who need to approve.
You can set multiple approvers.
Choose between all or any reviewers who can approve.
Step 4: Save and Activate
Review the settings.
Click Save to make the flow live.
Once saved, you will see the details of the flow in the Overview section
You can edit or delete an approval flow anytime
How to Approve or Reject Requests
For Approvers:
You will see the Pending status in the corresponding list view once the item moves into approval flow
Click on View Pending Review to see the approval details
Review the approval request whether campaign, journey, flow or template.
Click Approve or Reject.
Optionally, you can leave a comment explaining your decision.
For Requesters:
When the selected action is performed, like publishing a campaign, journey, flow or template, it automatically moves to pending review status.
Track the status of your request under your approval flow in the Runs section.
Click on View approval history to address any comments or rejections to resubmit for approval.
